- Which contract information is included in this search?
Active City contracts registered with the Comptroller’s Office are included in the contracts search. Contract information is updated nightly, and includes active contracts for a period of five years.
- Once I have gotten my search results, can I sort the columns?
Yes. Left click on any column heading one time and the column will sort in ascending order; left click the column heading again, and the column will sort in descending order.
- Is there a printer-friendly version of the search results?
Yes, by downloading the results into a spreadsheet and printing from there.
- How do I export this data?
The contract search results can be downloaded as an electronic file. On the search results page, click the “Download results as a CSV file” link. Depending on your Internet browser configuration, you can choose to open the file or save it on your computer. You can import the saved file into most spreadsheet applications.
- What if I can’t find a vendor I’m looking for?
You will only find a vendor if that vendor has contract information available to ClearView (see this FAQ for more information). Suggestions for searching by vendor name are:
- Enter part of the vendor’s name (e.g., “International” instead of “International Widget Company”).
- Try entering different spellings of the vendor’s name.
- Leave out punctuation (“ABC” instead of “A.B.C.”).
- Why isn’t the contract I’m looking for there?
There could be several reasons why a contract is not listed:
- The contract may be inactive, meaning, generally, that its period of performance ended prior to today’s date.
- The contract may not yet have been received for review by the Office of the Comptroller from the City agency.
- The contract wasn’t registered within the past five years.
- What is PENDING REGISTRATION? – The New York City Charter requires that all contracts or agreements between city agencies and vendors be registered by the New York City Comptroller. The Comptroller's Office of Contract Administration (OCA) is responsible for reviewing all contracts, contract amendments, leases and concessions between City agencies and vendors to determine whether the agreement should be registered. The Comptroller's Office has 30 calendar days in which it must register, reject, or object to the registration of a contract. PEND_REG indicates that the contract is still pending registration.
- What does REGISTERED mean? – This status indicates that the contract has been registered. Once registered, then the city sets aside or "encumbers" funds to insure that monies are available to pay contractors upon the satisfactory completion of contract work.
- What is a VENDOR? – Vendor is another word for contractor.
- What is a CONTRACT TYPE? – A contract type describes the nature of the services being provided, e.g. SUPPLIES/MATERIALS/EQUIPMENT means a contract to supply items such as printers or plumbing supplies.
- What is CONTRACT PURPOSE? The contract purpose is a brief description of the nature of the contract.
- What is ORIGINAL or MODIFICATION? – Original would indicate that the contract is the original or first registered contract; and modification would indicate a modification to an original contract.
- What is a PIN? – Procurement Identification Number given by the City.
- What is the Contract Start Date? – The contract start date indicates the date when work should begin on the contract.
- What is the Contract End Date? – The contract end date indicates the date when work should end on the contract. The revised end date occurs if the contract was modified for a different contract end date.
- What is the Contract Amount? This is the maximum funding that can be spent on the contract. The revised amount indicates that the contract was modified to a different contract amount.
- Why did a contract appear on one day and then disappear on the next? – The contract’s information being displayed are active contracts registered within the last five years. If a contract is no longer active and has reached the five year display threshold, it will not show up on the search results any more. In addition, if a contract’s end date is past, then the contract will also not be on the search results screen.
- How often is this website updated? – ClearView is updated nightly, Monday through Friday.
